Overview

Ozcare was established as a special work of the St Vincent de Paul Society Queensland in 1996. With 46 services in 25 locations and 600 staff, Ozcare help seniors and people with disability stay in their own homes as long as possible and to offer homely aged care facilities to elderly Australians.

“It is far more convenient for staff who can now undertake their training wherever they are and whenever they have the time. When the Queensland Fire and Rescue Service conduct a check now, all we have to do is log onto the FEP, print out an updated report that shows all the staff that have undertaken training to that date and hand it to the representative”

Tracy College, Contract Administration Officer

Identifying the Challenges

With the added problem of staff working day and night shifts and making compliancy training a challenge, Ozcare was looking for a flexible 24-hour emergency training solution that addressed all the needs of Ozcare and ensured it met all the necessary regulations. Operating in an industry that is required to pass stringent annual accreditation checks and in which emergency situations occur more frequently, Ozcare needed to ensure that its 55 facilities were compliant and that its 600 employees were properly trained for every emergency, quickly and with minimal disruption. Ozcare upon reviewing their business situation, researched and implemented an online system to induct people, who come with different roles and responsibilities, with the necessary skills and knowledge to ensure they remain safe. The induction process ensures all Emergency Planning regulatory requirements are adhered to and, compliant.

PlanSafe Solution

Ozcare adopted PlanSafe’s online safety induction and emergency management program to provide safety information and safety training to their employees, contractors and wardens through a single system that enabled them to achieve 100% compliance with the current WH&S Legislation, the Building Fire Safety Regulations and Australian Standards (AS 3745-2010).

Result

The scope of the Project included the Emergency Management and Induction training customisation to Ozcare’s specific requirements. As Ozcare has specific requirements for contractors and staff, much configuration work had been invested to create a specific induction portal which cover the broad set of content that Ozcare must manage. Interactive floor plans were created for each site and building to provide localised information on any form of equipment. Present-day fire safety equipment training videos, a library of 70 emergency services certified videos for Employees, First Responders, Contractors and Wardens were integrated into the portal. Site specific Emergency Coordination Organisation Instruction (Safety Wardens) and videos customised to Ozcare’s requirements. Different types of assessment were setup dependant on the type of inductee. The results are kept in a central database and will trigger a re-assessment after a certain timeframe.
